A step-by-step system to streamline hiring and save hours every week

Hiring cleaners is already a grind. The back-and-forth emails, reference checks, scheduling. It’s a time suck. But what if you could automate 90% of it?
That’s exactly what I did using Notion + Zapier, and it’s been a game changer. Here’s how it works:
Keep It All in One Place – Every cleaner’s info lives in a Notion database with simple status columns (Interview Scheduled → References Requested → Ready to Schedule).
Trigger Automated Emails and Texts – Move a candidate to "References Requested" and Zapier automatically:
Sends them a form to submit references
Texts those references to confirm their recommendation
Streamline Scheduling – Once references are good, another Zap fires off an email with a scheduling form. They fill it out, and we get a Slack notification with their availability—ready to plug them into jobs.
No more endless emails. No more chasing down references. Just update a status in Notion, and the system runs itself.
This setup has saved us hours every week. If you’re still manually following up with cleaners, it’s time to automate.
