Communication is 90% of this job

Sometimes, a simple text is all you need to avoid disaster

We use Breezeway to automatically sync cleaning schedules, notify cleaners of changes, and keep hosts in the loop—without us having to manually coordinate every detail. It cuts down on back-and-forth, keeps everyone aligned, and helps prevent the kind of human error that leads to awkward mix-ups. Honestly, it’s like having a second brain for our operations.

Topic of today’s newsletter: communication

Sometimes I forget that a cleaning business is really just one big game of logistics.

You’re putting puzzle pieces together, moving cleaners and schedules around, trying to get everyone where they need to be, on time, and with the right info.

But if you’re not communicating clearly, the whole thing falls apart.

Here’s a recent example where we dropped the ball:

Guests extended their stay and nobody told the cleaner
Cleaner shows up, guests are still there
Guests are surprised and call the host
Host calls me
Now everyone’s annoyed. Cleaner, guest, host... and me

All it would have taken was a quick heads-up. One message
But we let it slip

It’s easy to overcomplicate this stuff. But honestly, if you can communicate well and consistently, you’re already ahead of 90% of the game

One of the best ways to do that without relying on memory or manual follow-up is by setting up automations

We use Breezeway, Zapier, and OpenPhone to keep hosts and cleaners aligned automatically, without having to coordinate every detail ourselves. It has helped us avoid a lot of these slip-ups and gives us more peace of mind

We’re still improving things every week. It’s never perfect, but the systems make it a whole lot easier
