If you’re running a cleaning business (or any service business, really), the right software stack can mean the difference between smooth operations and a never-ending game of "Where did I write that down?"

I've tested a lot of software over the past few years, and this is what I actually use daily to keep my Airbnb cleaning business running like a well-oiled machine. Hopefully, this saves you some trial and error.

My Complete Tech Stack

Operations & Scheduling

  • Breezeway – Hands down, the best tool for scheduling Airbnb cleans. It keeps everything in order and alerts me when there’s an issue.

  • Booking Koala – Used for all non-Airbnb cleans (residential, commercial, etc.). This is where customers can book, and we manage everything.

Communication & Team Management

  • OpenPhone – Business phone number, so I’m not handing out my personal cell to every customer and cleaner.

  • Slack – All internal communication happens here. If it’s not in Slack, it doesn’t exist.

  • Cal.com – I use this to schedule interviews with potential cleaners—no back-and-forth emails needed.

Finance & Payments

  • QuickBooks – Bookkeeping and payment processing. Without this, my accountant would hate me.

  • Mercury – Business banking that’s built for online businesses and super easy to use.

  • Stripe – Processes payments for jobs booked through Booking Koala.

Marketing & CRM

  • ConvertKit – I use this to send emails to existing customers, keeping them engaged.

  • Symbo – This is my CRM for tracking leads, plus it handles cold calls and cold emails.

  • Agile Assets – Helps with managing and scheduling social media posts so I don’t have to think about it every day.

Automation & Workflows

  • Zapier – The magic glue that connects everything. Automates tasks between my apps so I don’t waste time on manual work.

  • Notion – Where I keep all my SOPs, tracking documents, and project management notes.

Hiring & Contracts

  • PandaDoc – I use this to send and collect signatures for independent contractor agreements.

  • Gusto – Handles payroll for my W-2 employees.

Final Thoughts

This is my exact stack, and I rely on it daily. If you’re running a cleaning business (or any service business), I highly recommend getting systems in place early so you don’t drown in admin work later.
